Your Microsoft 365 Account is Migrating on Friday, November 6

ANNOUNCEMENT 1

Baptist Health is moving to a new Microsoft 365 environment to modernize the tools you use every day. Your Microsoft 365 account will move beginning Friday, November 6, 2026, with the migration continuing through the weekend. Your Microsoft 365 account is what you use to sign in to Outlook, Teams, OneDrive and Microsoft Office apps like Word, Excel and PowerPoint. It also signs you in to other apps, such as Workday and UKG.

The good news: Most of your Microsoft 365 information will move with you. There are just a few things you need to take care of before the move.

📚What You Need to Know

Your email and files are moving with you

Your email, calendar, OneDrive files, SharePoint Online sites, and Teams channels will move to the new environment. Nothing is being deleted.

You will need to sign in again

After your account is moved, you may be asked to sign back in to Outlook, Teams and other Microsoft 365 apps. This is expected. Use your Baptist Health sign-in information unless IT provides different instructions.

Your Teams chats, including group chats, will NOT move

This is the most important thing to take care of before November 6.

Your Teams chats will not transfer to the new environment. This includes both 1:1 chats and group chats with more than two people. If there is information in a Teams chat that you need to keep, save it now by taking a screenshot, copying important information into a document, or saving any shared files to OneDrive.

Teams channels and the files stored in them will move. Only your Teams chats, 1:1 and group, will not transfer.

Some shared links will stop working

If you have shared a OneDrive file with someone outside Baptist Health using a link, that link will STOP working after the migration.

If you regularly share OneDrive files with people outside Baptist Health using a link, make a note of those files now so you can quickly share them again after the migration.

Your existing Teams meeting invites will stop working

Your calendar appointments will migrate, but the Teams links inside them will still be broken. If you organized any Teams meetings, including recurring ones, you will need to recreate them after the migration.

Your work phone or tablet will need to be re-enrolled

Keep your Baptist Health work phone or tablet with you on Friday, November 6. You will receive instructions on how to re-enroll it.

Using Outlook or Teams on a personal phone or tablet?

After the migration, you will need to remove your Microsoft 365 account from the Outlook and Teams apps on that device and then add it back. You will receive instructions on how to do this.

✅ What You Need To Do Before November 6

Save anything important from your Teams chats, including group chats.

Screenshots, notes or saving files to OneDrive are all good options.

Make note of any OneDrive files you have shared with people outside Baptist Health using a link.

You may need to share these files again after the migration. Files you sent as email attachments are not affected.

Keep track of any Teams meetings you organized, especially recurring ones.

You will need to recreate them after the migration.

Keep your Baptist Health work phone or tablet with you on Friday, November 6.

You will need it for re-enrollment.

That's it for now! Be on the lookout for detailed step-by-step instructions closer to the migration date.

📅 What Will Happen During Migration Weekend?

Friday, November 6, at 8 p.m.: The migration begins. Most of the work happens behind the scenes, so you do not need to do anything while your account is being moved.

Until early Saturday morning, November 7: Outlook, Teams, OneDrive and SharePoint Online will be unavailable.

Which SharePoint sites: Only SharePoint Online sites are affected. Their web addresses begin with baptistgov.sharepoint.com. Our Engage site will NOT be affected.

Some other apps: You may not be able to sign in to Workday, UKG, PerfectServe, FinThrive, Unlimited Financials, Clearwave, and a few other apps until early Saturday morning. Some may take longer, possibly through the weekend, while we work with each app’s vendor to reconnect them.

Cerner Millennium and PowerChart: These and other Cerner apps will NOT be affected. You can keep using them as usual throughout the migration.

Once your account is ready: You may be asked to sign back in to Outlook, Teams and other Microsoft 365 apps.

After signing in: Outlook and Teams may take a few minutes to fully sync. This is normal.

After the migration: IT will send a follow-up message with any additional steps you need to complete.

❓Why Are We Making This Change?

Baptist Health is moving to a single, modern Microsoft 365 environment so teams across the health system can use the same current versions of Outlook, Teams, OneDrive and SharePoint.

The move also supports Baptist Health's cybersecurity and technology standards and will help us continue improving the performance and reliability of the tools you use every day.
