Microsoft 365 Migration Happening Today

ANNOUNCEMENT 4

Your Microsoft 365 migration is this Friday, November 6, beginning at 8 p.m. Here is a quick reminder of what to do this week and what to expect.

✅ What You Need To Do This Week:

Save anything important from your Teams chats.
This includes 1:1 chats, group chats and meeting chats. Teams channels will move.

Make note of OneDrive files shared with or by people outside Baptist Health.
Those sharing links will stop working, in both directions.

List the Teams meetings you organize, especially recurring ones.
Your calendar appointments will move, but the Teams links inside them will still point to the old environment and will not work. You will need to recreate those meetings after the migration.

Note links to our old SharePoint and OneDrive addresses.
Links beginning with baptistgov.sharepoint.com or baptistgov-my.sharepoint.com, in documents, bookmarks and Teams channel posts, will stop working.

Keep your Baptist Health work phone or tablet with you on Friday, November 6.
You will need it for re-enrollment.

⚠️ Starting Today at Noon:

Please avoid creating new Teams channels or SharePoint sites after noon today unless absolutely necessary. Anything created after noon may not appear until 24 to 48 hours after the migration.

📅 What Will Happen Friday Night?

Friday, November 6, at 8 p.m.: The migration begins. Most of the work happens behind the scenes.

Until early Saturday morning, November 7: Outlook, Teams, OneDrive and SharePoint Online will be unavailable.

Signing in to some apps: You may not be able to sign in to the apps listed below until early Saturday morning, and some may stay unavailable through the weekend. If you work remotely, you may not be able to connect during this time.

Hourly employees: UKG will be unavailable, so you will not be able to clock in or out. Use downtime procedures instead.

PerfectServe: PerfectServe will be on downtime procedures for the entire Friday night shift on November 6.

Getting IT help: The Employee Service Center site may be down for an hour or two starting at 8 p.m. Call the IT Service Desk at 334-747-2793 instead.

Not affected: Cerner Millennium, PowerChart and other Cerner apps, and our Engage site, will NOT be affected.

Re-register Microsoft Authenticator if you work remotely.
To reach Citrix, Workday, VPN, Microsoft Office or other Baptist Health applications from outside our facilities, you will need to re-register right away:

Remove your old registration, if you have one: Removing MFA Registration From Microsoft Authenticator

Enroll your account again: How to Enroll Your Baptist Health Account in Multifactor Authentication (MFA) Using Microsoft Authenticator

Set up a passkey in Microsoft Authenticator: How to Set Up a Passkey for Microsoft Account Security

Everyone else will be guided through it in the weeks after the migration.

Remove and re-add your account in Outlook and Teams on your phone.
This applies to both work and personal phones: Removing and re-adding Outlook account on a mobile device

Switch from Boxer to Microsoft Outlook.
Boxer is being retired after the migration. If you use Boxer for email on your phone, work or personal, make sure to download the Microsoft Outlook app: Microsoft Outlook (Android) or Microsoft Outlook (iPhone)

After you have downloaded the app, follow the guide starting at Step 11: Removing and re-adding Outlook account on a mobile device

Recreate the Teams meetings you organized.
Your calendar appointments moved, but the Teams links inside them point to the old environment and no longer work. Send new invitations from your calendar, including for recurring meetings. If someone else organized a meeting, watch for a new invitation from them.

Providers who use PerfectServe on their phones:
Re-register Microsoft Authenticator right away,
then sign back in to the PerfectServe app to keep receiving messages.
